Office Assistant


Site Design Concepts is an award winning professional engineering, surveying, landscape architecture, and environmental services firm headquartered in historic downtown York, Pennsylvania. SDC was founded 29 years ago with a passion to provide great service to our Clients, while designing project sites that are innovative, constructible, and cost-conscious. We work diligently to support our Client’s efforts, advocate for their projects, and contribute to their success while maintaining a collaborative company culture.

We are searching for a motivated individual to join our team of professionals as we design the communities in which we live, work, and play.

The Office Assistant position provides administrative support to the Office Manager and Company Staff. This is a full-time position with work hours generally from 8:00am-5:00pm, Monday through Friday. The position handles a wide variety of tasks and responsibilities, so qualified candidates must be able to multi-task, as well as work alone and as a member of a team with an attention to detail and a commitment to accuracy. Strong written and verbal communications are required, along with a competency using Microsoft Word, Excel and Outlook. CRM software and marketing knowledge is also desirable, along with a degree in business administration; or a high school or business school diploma with prior office support experience is acceptable. Salary is commensurate with experience.

Roles, Responsibilities, and Requirements: The Office Assistant will provide support to the organization including, but not limited to, the following ways:

Office Manager and Project Manager Support:

  • Assist office manager with reporting and accounting duties, including:
  • Assist with time tracking for billing
  • Provide insurance certificates and W9 Forms to Clients as requested
  • Create and issue monthly Client statements
  • Perform receptionist duties – Greet visitors for low to very moderate number of office visits, deliveries and answer telephones
  • Complete project/file archiving
  • Perform work related errands as requested such as going to the Post Office, Client offices, Municipal offices
  • Enter company credit card receipt expenses and reconcile monthly credit card statement
  • Enter billable expenses from company log sheets
  • Process accounts payable – enter vendor bills and prepare a weekly list of items to be paid

Office Management:

  • Monitor and maintain office supplies and amenities; Order/purchase as needed
  • Maintain current State registrations for company vehicles
  • Ensure office equipment is properly maintained and serviced
  • Ensure conference room and front desk areas are tidy
  • Update and maintain company contact lists

Marketing Initiatives:

  • Create holiday cards and distribution plan (generally on-line distribution)
  • Assist with social media and marketing campaigns as needed

Employee Support:

  • Track employee work anniversaries, order appreciation awards & organize gatherings at which staff are recognized
  • Assist staff with Client Project submissions as needed
  • Prepare new hire welcome note and swag items

Document Management:

  • Receive, sort and distribute incoming mail
  • Scan/email incoming project email to Project Managers
  • Prepare outgoing mail and FedEx shipments;
  • Fax, scan and copy documents
  • Maintain office filing and storage systems
  • Type documents, reports and correspondence
  • Retrieve archived Client information when requested
